Announcing the cancellation of an event may seem like a big challenge, but it doesn't have to be. Clear communication with attendees, vendors, and the venue is key. People may be disappointed when you explain why you had to make this decision, but don't let that deter you. Open communication helps smooth things over and keeps customers interested in future events. In this guide, we've gathered tips on how to cancel an event with dignity. Let's take a look! ### 1. Stop sales First, pause sales and advertising. Communicate with attendees There is no strict timeline for how far ahead of the event date you must inform attendees of a cancellation, but it's best to let them know as soon as possible. Ideally, this happens at least 24 hours before the event. If you can send a notice even earlier, a week or a month ahead, that's best. Be sure to make a list of how you will spread the news: email your ticket buyers, post it on social media. It's your responsibility to get this critical information to everyone, and this can not only build attendees' trust but also pave the way for a long-term relationship. If the event only needs to be postponed, send out a rescheduling announcement with a specific date and venue so that prospects can save the new date. ### 3. Offer a full refund If you cancel the event, refund the full ticket price. Let buyers know as soon as possible, ideally in the announcement email itself. Reassuring them helps build their trust. If you need to collect card details or other information to process refunds, explain clearly what information you need and how you need it (for example, using a form), and give a reasonable deadline to act.
